Key Policy

Key Requests should be placed in a maintenance work order to the Lock and Key (Locksmith) shop and include approval from the requester's respective Director or Department Head (Dean-level or above in the case of faculty).

Upon submission of the work order request, the job will be entered into the queue and filled on a first-come, first-serve basis. When the key request is approved and fulfilled, an email will be sent to the recipient notifying them that the key(s) are available for pickup at Facilities Operations.

All work orders should include the name, and specific building/room numbers keys are needed for along with the reason for key issuance (new hire, lost key, etc.). Keys will only be issued to the recipient listed in the request and those recipients will need to sign for them in person at the Facilities Operations Administration office (FO 331).

NO. No person may duplicate a University key(s) or request the unauthorized duplication of a University key(s). Extra key requests must be submitted via maintenance work order to the Facilities Operations Lock and Key trade. Requests should indicate why an additional key is needed. Key duplication requests deemed unnecessary may be denied at the discretion of Facilities Operations staff to protect the safety and security of campus locations.

No person may transfer any University key(s) from an individual entrusted with its possession to an unauthorized person OR be in unauthorized possession of a University key(s). Keys in the possession of unauthorized persons will be confiscated.

No person shall damage, tamper with or vandalize any University lock or security device. Lock changes and installs should only be performed by University Locksmiths from the Facilities Operations Lock and Key Shop.

Please issue a work order to the maintenance work order system for Facilities Operations and assign the request to the Lock and Key trade. Include the new employee's name and list all applicable room numbers (by building) they need keys for. Please keep in mind that Human Resources must have previously entered the new employee into the database before keys can be cut and issued.

All lost or missing keys must be reported lost to University Police before new keys can be issued. Contact University Police at (203) 392-5375 to file a lost/missing report and be prepared to provide the date, time and probable location of the lost/missing keys. Departments with lost keys will be charged for replacement of a lost or missing key and/or for failure to return an assigned key upon that employee's separation from the University.

Place a work order for the replacement key indicating the stamped key number and the door/lock location that it is assigned to. Please specify if a piece of the key is still stuck inside the lock so the lock can be repaired as well. Any broken, damaged or incorrectly cut key(s) must be returned to Facilities Operations before or simultaneously when new keys are issued.

Please submit a work order indicating why a requested re-keying is needed for any space. The department requesting this replacement will be charged for the actual cost of re-keying the area(s) or building(s).

Please list past, current, and newly requested room numbers (by building). Previously issued keys must be returned to Facilities Operations before or simultaneously when new keys are issued.
