Department Description

The Office of Workforce and Lifelong Learning (OWLL) at Southern Connecticut State University strengthens the university's commitment to social justice by expanding equitable access to education through nontraditional pathways such as micro-credentials, digital badges, and credit for prior learning. Position Summary

Southern Connecticut State University (SCSU) is seeking a detail-oriented and dependable individual to serve as a University Assistant in the Office of Workforce and Lifelong Learning. This temporary, part-time position supports the university's financial operations, with a focus on accounts payable and accounts receivable functions. The role includes processing invoices, issuing/tracking payments, reconciling transactions, generating billing statements, and assisting vendors, learners, and departments with payment-related inquiries.

Responsibilities

Under the supervision of the OWLL Program Assistant, the University Assistant will:

  • Process invoices for payment in accordance with university policies and procedures.
  • Track vendor payments via check, ACH, and other approved methods.
  • Reconcile accounts payable and receivable transactions and maintain accurate financial and learner records.
  • Generate and distribute billing statements and payment reminders.
  • Record incoming payments and apply them to appropriate accounts.
  • Research and respond to vendor, student, and departmental inquiries regarding payment and billing status.
  • May be asked to staff marketing tables at various SCSU and outreach events
  • Assist with various projects and perform other duties as assigned by the Program Assistant for the Office of Workforce and Lifelong Learning.

Qualifications

Required

  • Bachelor's degree in accounting, finance, or business, or related degree
  • Strong organizational and communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to handle multiple tasks and meet deadlines.
  • Attention to detail and accuracy in data entry and documentation.
  • Ability to work during business hours
  • Ability to work independently or as part of a team

Preferred

  • Experience with Ellucian Banner or similar ERP systems.
  • Familiarity with accounts payable and receivable processes in a university or institutional setting.

Work Schedule

  • Up to 19 hours per week.
  • Workdays and hours to be determined in coordination with the Program Assistant.

Compensation

Hourly rate commensurate with experience and university guidelines.
