Supervisor’s Title: Director of Custodial and Grounds

Position Summary

The University Assistant (UA) will assist the Director and Associate Director of Custodial and Grounds with the daily operations within the Department of Facilities Operations.

Specific Duties / Responsibilities

  • Assist the Director and Associate Director with maintaining confidential forms and files for custodial and grounds department
  • Assist with the auditing and processing of paper attendance and overtime bi-weekly forms for approximately 90 employees
  • Assist with the daily updates of Leave of Absence and Daily Attendance forms to the master calendar, for auditing bi-weekly attendance
  • Assist with logging the overtime assignments and call-ins on a master document, for audit bi-weekly attendance
  • Assist with the onboarding of custodial and grounds employees, including welcome packets, key requests, card access and badge, etc…
  • Assist with verifying supply orders from custodial supervisors to the warehouse
  • Assist with work order allocation to the appropriate departments from our SchoolDude system
  • Assist with the completion of Human Resource forms for the filling of vacant job positions within department, including the Custodial and Grounds organizational chart, position search forms, etc…
  • Assist with maintaining the Custodial and Grounds Staff Roster, including shift changes, new and departing employees, lead and supervisor changes, etc…
  • Assist with collection of voluntary overtime completed forms on a bi-annual basis

Position Qualifications / Requirements

  • Proficiency in most current version of Microsoft Suite, including Teams, Outlook, Word, Excel, PowerPoint
  • Proficiency in Windows 11
  • Proficiency in Google Calendar
  • Paper and digital file management experience
  • Ability to operate in a highly organized manner, to support the Director and Associate Director
  • Ability to work closely with approximately 90 employees and supervisors to promote a harmonious environment

The work schedule would consist of a maximum of 19 hours per work week.
Hourly salary dependent upon qualifications and will fall within the parameters of the current UA Hire Wage Guidelines scale chart.
