Under direction of the Associate Director of Conferencing and Event Operations, the Assistant Director of Conference, Event and Auxiliary Operations assists with the operational and the technical operations of Conference and Event Services.  This position provides primary leadership for creating, developing, and maintaining the administrative and student technology systems associated with Conferencing and Events and assists with the implementation of technology initiatives for Division of Student Affairs and other university departments as directed.

Position Responsibilities

Responsible for all technical aspects of Conferencing and Events in the Adanti Student Center and provides assistance with the coordination of technical needs for events in other university spaces.  Provides technology training and supervision of student workers and University Assistants for technology support.

Supports all operational elements of the Adanti Student Center, Lyman Center, and Connecticut Hall. This includes but is not limited to setup/breakdown; scheduling of student and University Assistant staff; repair and replacement of equipment and inventory; building security and support of facilities.

Works with the Associate Director to oversee the day-to-day use of Conference, Event and Auxiliary spaces to include the allocation, management, and supervision of human, fiscal, technology, and physical resources, in collaboration with Conference and Event staff colleagues, to ensure seamless and successful event execution.  Assists with major institutional events such as commencement, distinguished lectures, dignitary visits, open houses, convocations, orientation, etc.

Serves as the primary administrator of enterprise event software solutions (EMS or equivalent scheduling system) including configuration, user training and daily maintenance.  Plans upgrades to the scheduling systems and trains users across the university on using the scheduling system.  Responsible for customized reports on room utilization and room bookings.

Assists in development and implementation of Student Affairs divisional initiatives and responsive web applications to support compliance with technology guidelines and policies.  Shares responsibly as the Technical Application Manager for Applications within Conferencing and Events as well as areas of Student Affairs (EMS, OWL Connect, Titanium, REACH, etc.).  Provides guidance to all groups (faculty, staff, students clubs and organization and external clients) with planning and execution of their events regarding all technical and logistic needs.

Manages equipment and technical needs for the E-sports room in the Adanti Student Center.  Provides technical assistance to offices within the Adanti Student Center.

In conjunction with the University Card Office, serves as a liaison between the Conferencing, Events, Student Affairs Auxiliaries and University Dining Services for technical needs.

Configures, integrates, programs, secures and manages all audio/video, security and card access equipment in Conferencing and Event Areas to conform to campus wide initiatives and policies.  Responsible for the maintenance and configuration of Wi-Fi locks as well as manages permissions for all areas of the Adanti Student Center and other Conferencing and Events areas.

Provides direction for all departmental computer hardware and software use, including coordination of maintenance outside of the direct control of the Student Center.  Assists with divisional hardware and software support.

Assists the Senior Director in the development of technical conferencing policies regarding the use of Conferencing and Event spaces, including attending meetings and serving on committees.

Assists IT system management staff with installation and support of servers and applications within the Division of Student Affairs.  Coordinates operations and programs for existing systems.

Develops and implements special technological initiatives including web-based applications for the department and division as needed.

Serves as a technology expert for the Division of Student Affairs.  Acts as a resource for software and programming challenges.  Documents systems and software.

Produces special reports as required by writing queries for systems within the Division of Student Affairs.

Diagnoses and corrects problems with Student Center electronics and technology. Arranges for servicing issues too complex or time consuming to be solved internally.

May be assigned projects outside of the Student Center that involve his or her technical expertise.

May work occasional night and weekend hours for special programs and events.

Performs other duties and responsibilities related to those enumerated above which do not alter the basic level of responsibility of the position.

Qualifications

Bachelor’s degree and a minimum of four (4) years technology experience required. Must have proven ability to plan, develop and implement a broad range of software/hardware and conferencing systems. Strong communication and interpersonal skills are required.  A master’s degree or extensive experience is preferred. These qualifications may be waived for individuals with appropriate alternate experience.
