Under the supervision of the AVP, the incumbent of this position will assist in a wide variety of accounting, budgeting, reporting, and financial responsibilities.

Position Responsibilities

Support the AVP in the management of the annual facilities operating and capital budgets.  Responsibilities include, but are not limited to, assisting with budget development, tracking actual expenses against budget, and special reporting as requested.

Under the direction of the AVP, coordinate the financial cycle for purchasing for capital projects.  Responsibilities include, but are not limited to, creating the documentation to request for funds for approved projects from quotes provided by facilities department heads, preparing requisitions, receiving invoices, and managing the approval workflow within facilities.

Under the direction of the AVP, coordinate the financial cycle for purchasing for operations.  Responsibilities include, but are not limited to, supporting facilities department heads in requisitioning from quotes or blanket purchase orders for approved vendors from past practice, receiving invoices, and managing the approval workflow within facilities.

Under the direction of the AVP and with input from facilities department heads, perform basic accounting tasks for the department.  Responsibilities include, but are not limited to, preparing journal entries for facilities chargebacks and other cost transfers as needed, and managing pcard activity including monthly reconciliations and preparing records for the annual audit.

Assist the AVP with internal reporting / management reporting.  An example would be tracking the spending against CSCU2020 funding transferred to campus and maintained at the System Office.

Assist in payroll time reporting for staff. 

Assist in information systems implementation/upgrades as they pertain to facilities.

Assist in audits including, but not limited to, annual financial audits and biennial state APA control audits.

Acts as a general resource for internal and external financial inquiries. 

Qualifications

Bachelor’s degree required.  One (1) year of financial experience required.  Demonstrated strong oral and written communications skills, as well as strong interpersonal skills are required.  Demonstrated knowledge and ability to utilize enterprise software and Microsoft Office Suite are required.  Alternate credentials and/or experience demonstrating an ability to perform the job functions will be considered in lieu of these requirements.
