
Webex - Telephone System and Online Meetings
Getting Started

On May 27, 2025, SCSU transitioned to the Webex Calling phone system.
Webex is a platform for collaboration and communication, including video conferencing, messaging, and calling. It's a service offered by Cisco, and it allows users to connect, communicate, and share content in real-time. Webex is available through a desktop app, mobile app, and web browser.
At SCSU we’ll be utilizing the Cisco Webex services for phone infrastructure, interoffice calling, and virtual meetings. The Webex app serves as your connection to your phone from your university provided computer. This includes when you want to make / receive phone calls from home.
Logging into Webex:
- Open Webex.
- Click the “Sign In” button.
- Enter your SCSU email address, click the “Next” button.
- You will be forwarded to the SCSU Microsoft Single Sign-On Page.
- Enter your password and authenticate with your MFA utility if prompted.
Emergency 911 (E911):
You may be prompted to set up your E911 profile the first time you log into the software.
This will help emergency services determine your location based on the device you call from. This setting needs to be set on every device you log into, and when you move your laptop to a new location. You should be prompted every time a change is required.
1. Enter the appropriate address and details on the location into the text boxes and click, “Save”.
Voicemail
Your voicemail needs to be set up as if it was new. You will need to set a new Greeting, and a new PIN.
- Go to user.webex.com.
- Log in with your SCSU email and password. Authenticate with your MFA utility if prompted.
- Click on “Settings” on the left side of the screen.
- Select the “Calling” tab, and then the “Voicemail” tab.
- Click “Reset Voicemail PIN” and enter a 6-20 digit pin. Click “Save” when you are done.
- Either leave the voicemail with the default message or set a Custom message.
- In the “Send calls to voicemail” box turn on Send calls to voicemail when line is busy.
- Click the radio button for “Custom message”.
- Select “Record message”.
- Click the red recording button and record your message. Play the message back to make sure it sounds good.
- Click “Save”.
- Do the same for the “Send calls to voicemail when no one answers” option.
- Click “Save” at the bottom of the “Send calls to Voicemail” box.
Shared Voicemail PIN
If you are the owner of a shared Voicemail and need to reset the PIN to regain access you will need to submit a Telecom Service Request (TSR) that can be found here: https://inside.southernct.edu/information-technology/tsr. The TSR will generate an IT Help Desk work order and you will receive a work order email confirmation. This is only for shared voicemails, instructions for your individual voicemail can be found above.
Webex for Online Meetings
A Webex Meetings account is required to schedule and host online meetings via Webex (faculty and staff only). All faculty and staff who had a Webex account as of May 27, 2025 have retained their Webex Meetings license.
If you need a Webex Meetings license you may request one. To request a Webex Meetings account, please create a case with the Help Desk. Please note, you do not need a Webex Meetings account to attend Webex online meetings.

Accessing WebEx (Faculty/Staff) : PDF | VIDEO
Some of the advantages of WebEx include:
- The ability to see up to 25 participant webcam videos in a grid view.
- The ability to set a virtual background to enhance privacy.
- The ability to share the screen, applications or a whiteboard.
- The ability to allow or restrict other participants from sharing their screen or applications.
- The ability to lock the meeting room to prevent unwanted participants from joining.
- The ability to conduct polls.
- Faculty can easily schedule meetings, both single meetings and recurring meetings, or can use their personal WebEx rooms to meet with students.
- Students do not need a WebEx account to join the meetings.

Request a New Phone
If you need a new phone, you must submit a Telecom Service Request (TSR). that can be found here: https://inside.southernct.edu/information-technology/tsr. The TSR will generate an IT Help Desk work order and you will receive a work order email confirmation.
Note: When working from home, if you are remotely accessing a computer that is on campus, WebEx audio and video will not work properly as it will be using the microphone and web cam on that computer rather than the one in front of you. To utilize these functions, you will need to launch WebEx on the actual computer being used at home.
