University Assistant - Facilities Operations & Planning

Position Title: University Assistant (Part-time temporary – Up to 19 hours per week)

Department: Facilities Operations & Planning

Supervisor’s Title: Director of Custodial and Grounds

Position Summary:

The University Assistant (UA) position in the Facilities Operation and Planning department is under the supervision and assessment of the Director of Custodial and Grounds. The Director of Custodial and Grounds is responsible for the assignment of various tasks for the UA that supports systematic procedures contributing to the effective and efficient operation of the department. The UA provides support to department members when appropriate, with specific tasks in consultation with the Director to maintain prioritization and fair distribution of assignments.  The UA must be able to effectively interact with staff, faculty, prospective / current students and administration.
Position Responsibilities:

  • Assist with general office tasks i.e. data entry, answering phones, word processing, alphabetizing and filing
  • Assist with scheduling of overtime assignments
  • Assist with managing and recording leave of absence forms
  • Assist with reviewing and assigning work orders


The University Assistant must be able to work collaboratively in a team environment and independently with oversight in areas of responsibility. The UA must prioritize functional tasks and work successfully under pressure to meet deadlines. The UA must demonstrate computer skills, have experience with Microsoft Office products, and deploy excellent communication skills in the execution of the work.
