The Enrollment Systems Coordinator manages the implementation, operation, maintenance, integration and development of business systems and software in support of the Enrollment Management (EM) Division’s strategic and operational plans. These include but are not limited to the Banner Student Module, CRM and associated tools. This position coordinates the development and operation of data management and reporting to enhance the University’s recruitment and enrollment activities and support data-based decisions, working collaboratively with IT and campus stakeholders as well as the EM division.

Position Responsibilities

Works closely with Information Technology (IT) and the CRM Coordinator to provide strategic and functional support for the software systems used by the EM division.

Documents requirements and specifications, and implements new systems and updates or upgrades using appropriate testing protocols in support of the EM division’s activities, goals and reporting.

As directed by the VP for Enrollment Management and unit leaders, prioritizes and coordinates technical projects and monitors progress.

Develops and maintains the integrity of University databases for effective, student-centered operations and well as effective analysis, planning and decision-making.

Collaborates with the Offices of Undergraduate and Graduate Admissions, the Office of Financial Aid, the Transfer Student Services department, and the Office of the Registrar and Information Technology (IT) to implement technology solutions in support of student service and enrollment goals.

Scans externally and internally to identify system and data best practices, new products and services in enrollment management; researches independently and as requested by decision makers, and makes recommendations regarding opportunities and enhancements based on University goals.

Serves as the EM Division lead in development and maintenance of new student reporting, dashboards and surveys. Coordinates with IR and other data stewards to respond to new and continuing student data requests in addition to standard reporting.

Leads ongoing user adoption, support and training associated with Enrollment software and business systems, in collaboration with CRM Coordinator and IT. Troubleshoots and monitors requests and issues as they arise. Effectively represents EM in IT governance and case management, and identifies and engages resources for issue resolution and product development.
Actively engages in professional development opportunities to include but not limited to webinars, review of manuals and resources provided by vendors, and travel to conferences and workshops as fiscally feasible.

Responsible for reviewing security classes for all EM offices by working with the appropriate IT staff (or having a limited access role in BANSECR). Manages licenses for EM software and business systems.

Provides technical assistance to end-users in EM offices by responding to inquiries regarding errors, problems, or questions with programs.

Trains or arranges training for end-users or technical support staff that use and support Banner/ERP and related or integrated systems within EM offices.

Performs a wide variety of administrative duties essential to operational efficiency of the Banner/ERP System such as, but not limited to, documenting procedures, helping set up user access, and serving as a liaison with Ellucian and other vendors.

Develops and maintains a data dictionary of Banner/ERP elements in the Student Information System for which EM departments are stewards to assist with common meaning, relationships to other data, origin, usage, and format of data.

Serves on various University and divisional committees as needed.

Delivers exceptional customer service by responding to user inquiries in a respectful and timely fashion. May work occasional nights and weekends as needed.
Performs other duties and responsibilities related to those enumerated above which do not alter the basic level of responsibility of the position.


Bachelor’s degree required, master's degree preferred. Minimum four years’ experience in higher education environment, including relevant experience in Registrar, Academic Affairs, and/or Enrollment Management units. Demonstrated abilities required: a) Strong analytical, strategic and problem-solving skills; b) technical skills in systems integration, report generation and management of ERP and/or CRM tools; c) strong oral and written communication skills; d) organizational and project management skills; e) ability to understand relational databases such as Oracle or similar.

Preferred qualifications include a) academic credential in computer science or related area; b) experience in data analysis; c) working knowledge of VBA, SQL, JAVA, JAVA SCRIPT or SAS, SPSS or similar statistical packages.

These qualifications may be waived for individuals with appropriate alternate experience.
